SMS & Mobile Policy
How RealPay uses SMS notifications and how to manage your preferences.

Summary: RealPay sends SMS notifications only to pre-authorized employees of client organizations when their action is required in the accounts payable workflow. We do not send marketing messages. Message frequency is low and depends entirely on your club's payment activity. Reply STOP at any time to opt out.
1. Program Description
RealPay LLC operates an automated accounts payable workflow platform for private clubs and similar organizations. As part of this workflow, RealPay sends transactional SMS notifications to designated employees when their action is required — specifically, when payment batches require their digital signature.
This is an internal business communication program. All SMS recipients are employees of client organizations who have been pre-enrolled by their organization's system administrator as part of their job responsibilities.
2. Types of Messages Sent
RealPay sends the following types of SMS messages:
New Batch Notification: Sent to designated first signatories when a new payment batch has been created and requires their review and signature. Example: "RealPay: Your signature is needed on new payment batch Pymt_20260401.csv — $48,164.66 [link]"
Second Signature Required: Sent to designated officers/second signatories when a payment batch requires their additional approval for checks meeting the configured threshold. Example: "RealPay: Your 2nd signature is needed on payment batch Pymt_20260401.csv — $48,164.66 [link]"
No marketing, promotional, or advertising messages are ever sent through this program.
3. Message Frequency
Message frequency varies based on your organization's accounts payable activity. Typical usage results in 2–10 messages per month per recipient. Recipients will only receive messages when their specific action is required in the workflow.
4. How to Opt In
SMS enrollment is managed by your organization's RealPay system administrator. Administrators add mobile phone numbers for designated employees through the Admin → Users section of the platform. By having your phone number entered into the system by your administrator, you consent to receive the transactional notifications described in this policy.
If you believe you have been enrolled without your consent, contact your organization's RealPay administrator or contact RealPay directly at jeff@realpayap.com.
5. How to Opt Out
You may opt out of SMS notifications at any time using any of the following methods:
Reply STOP to any RealPay SMS message
Contact your organization's RealPay administrator to remove your phone number from the system
Contact RealPay directly at jeff@realpayap.com
After opting out, you will receive one confirmation message. No further messages will be sent. Note that opting out of SMS does not affect email notifications, which are managed separately.
6. Message and Data Rates
Message and data rates may apply depending on your mobile carrier plan. RealPay does not charge for SMS messages — any charges come from your mobile carrier. Contact your carrier for details about your messaging plan.
7. Privacy and Data Use
Mobile phone numbers collected through the RealPay platform are used solely for the purpose of sending the transactional notifications described in this policy. Phone numbers are:
Stored securely within RealPay's Azure-hosted infrastructure
Used only to send workflow-related notifications to the individual employee
Removed from the system upon administrator request or opt-out
No mobile information, including mobile opt-in data and consent, will be shared with or sold to third parties, affiliates, or lead generators for marketing or promotional purposes at any time.
SMS messages are delivered via trusted enterprise communications providers (currently Twilio). RealPay does not use mobile phone numbers or messaging data for any purpose other than delivering the transactional notifications described in this policy.
8. Supported Carriers
RealPay SMS notifications are compatible with all major US carriers including AT&T, Verizon, T-Mobile, Sprint, and regional carriers. Carrier support for SMS is not guaranteed for all carriers or plans.
